TechChill Foundation (“TechChill”, “We”) processes the personal data of the persons attending any event organized by TechChill (“Event”) and of the persons using our website techchill.co. This Privacy Policy outlines how TechChill processes the personal data of Event goers (“Attendees”) and TechChill webpage visitors (“Visitors”).

1. What personal data TechChill processes?

TechChill processes Attendees personal data that is necessary to grant them access to an Event. This includes, but may not be limited to identifying information, contact information, payment information, Event information.

We also process Visitors data in a limited capacity via cookies to ensure the functionality of the TechChill website. This includes, but may not be limited to browser data, country, operating system, type of device, the URL path before and after visiting our website.

2. Why TechChill processes personal data?

TechChill processes different personal data for different purposes. Attendee data is processed in connection with attending an Event, i.e., purchasing tickets, receiving Event information, communication with Event organizers, etc. Visitor data is processed in connection with the use of cookies on TechChill webpage. Below is a more detailed description of the data processing purposes.

 

2.1. Use of cookies

Cookies are used in order to enhance webpage navigation, analyze webpage usage, and assist in our marketing efforts. Strictly necessary cookies enable TechChill to ensure that our webpage is functioning and works as intended. These cookies cannot be switched off. Analytical cookies allow us to analyze how Visitors use our webpage, how they access it and to improve the performance of our website. Targeting cookies may be set through our webpage by our advertising partners. They may be used by those companies to build a profile of your interests and show you relevant adverts on other sites. Analytical and Targeting cookies are enabled only based on your consent.

 

2.2. Attending an Event

Attendee personal data is processed for the purpose of ensuring access to an Event. This processing activity includes several different processing operations – TechChill registers and identifies the Attendee using the provided identification information, provides ticket purchase options, communicates with the Attendee about the Event and enables the Attendee to attend the respective Event.

Attendee and TechChill conclude an agreement once a ticket to an Event is purchased. The data required to purchase a ticket to an Event is necessary for the conclusion of said agreement. Additional information that an Attendee provides can be used by TechChill and other Event organizers to enhance the Attendees experience at the Event.

 

2.3. Data sharing with Event organizers and sponsors

In order to facilitate further cooperation between an Attendee and Event organizers and sponsors, TechChill provides limited Attendee information (such as name, surname, occupation, company name and contact information) to Event organizers and sponsors. This information is only used to communicate with Attendees about subjects they have expressed interest in and possible future ventures. This may include cooperation offers, special offers and newsletters.

You can opt out of receiving communication from Event organizers and sponsors any time by info@techchill.co. However, this means that you will not receive further information/ invitations to other events that could be of interest to you.

Please note, that other Event organizers and sponsors privacy policies may be applicable.

 

3. Can TechChill share personal data with third parties?

TechChill can share Attendee and Visitor data in various situations. Most commonly, personal data is shared with our service providers, such as server, IT, banking, accounting and other service providers.

We also share limited Attendee data with other Event organizers and sponsors.

TechChill processes Attendee and Visitor personal data only within the European Economic Area.

 

4. How long TechChill retains personal data?

All Attendee personal data is stored as evidence confirming the identity of the Attendee, conclusion and fulfilment of an agreement (purchase of Event ticket and attending an Event), and is kept until (whichever occurs later):

  • the fulfilment of the agreement,

  • the data is no longer necessary,

  • the data storage timeframe or limitation period for legal proceedings established by the laws and regulations of the Republic of Latvia expires.

Typically, some Attendee data will be retained for a maximum of up to 5 (five) years for accounting purposes. The rest of the data will be deleted once it is no longer necessary for any purpose.

 

5. What are my rights?

TechChill respects the Attendee’s rights to access, manage and control the personal data that TechChill processes. Once TechChill receives an Attendees’ request to exercise any of the rights listed below, we will review the Attendee’s request and provide a response without undue delay and in any event within one month of receipt of the request.

Please note that a request can be submitted in one of the following ways:

  • by sending an electronically signed request to info@techchill.co;

  • by sending a signed request to Sporta 2, Riga, LV-1013, Latvia.

 

5.1. Right of access

The Attendee is entitled to receive information on whether or not TechChill processes the Attendee’s personal data, and, if TechChill processes said personal data, request a copy of the Attendee’s personal data undergoing processing.

 

5.2. Right to rectification, to the extent possible

The Attendee is entitled to request TechChill to rectify the Attendee’s inaccurate or incorrect personal data. We have the right to verify that the amended data is true and accurate.

 

5.3. Right to erasure, to the extent possible

The Attendee is entitled to request TechChill to erase the Attendee’s data. This right can be exercised if one of the following grounds applies:

  • purposes of the processing have been reached;

  • personal data are no longer necessary in relation to the purposes for which they were collected or otherwise processed;

  • Attendee withdraws the given consent;

  • Attendee objects to the processing;

  • personal data has been unlawfully processed;

  • personal data has to be erased for compliance with a legal obligation.

TechChill reserves the right to reject the request to erase the Attendee’s personal data if there is a legitimate legal ground for doing so, for example, to comply with a legal obligation which requires processing, to establish, exercise or defend legal claims, or for statistical purposes, providing appropriate technical and organizational security measures.

 

5.4. Right to the restriction of processing

The Attendee is entitled to request TechChill to restrict processing if one of the following grounds applies:

  • Attendee contests the accuracy of the personal data, for a period that enables TechChill to verify the accuracy of the personal data;

  • processing is unlawful, and the Attendee requests restriction opposed to the erasure of the personal data;

  • TechChill no longer needs the Attendee’s personal data, but the personal data is necessary for the Attendee to establish, exercise or defend legal claims;

  • Attendee has objected to processing pending the verification whether the legitimate grounds for processing of TechChill override those of the Attendee.

Upon restricting the processing of the Attendee’s personal data, TechChill will only process the Attendee’s personal data after receiving consent from the Attendee, or for the establishment, exercise or defence of legal claims or for the protection of the rights of another natural or legal person or for reasons of important public interest. This does not apply to storing personal data.

 

5.5. Right to object to the processing of personal data

The Attendee is entitled to object to the personal data processing activities concerning direct marketing or which are based on TechChill legitimate interests but given the basis of the Attendee’s particular situation they want to object to processing on this ground.

 

5.6. Right to data portability, to the extent possible

The Attendee is entitled to request TechChill to receive and transfer the Attendee’s personal data to the Attendee or another data controller. The Attendee can exercise this right insofar as the data has been provided by the Attendee based on consent or an agreement and the processing is carried out by automated means.

This right also applies to raw data that has been provided by the Attendee, relates to the Attendee’s activities or result from observation of the Attendee, for example, activity logs, history of website usage.

 

5.7. Right to withdraw consent

The Attendee is entitled to withdraw previously given consent at any time. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent.

 

5.8. Right to submit a complaint to the national personal data protection authority

In case of any uncertainty related to your personal data, you are welcome to contact TechChill and we will seek to provide you with an answer or find a solution to your issue. However, if you believe we cannot find the solution, the Attendee is entitled to submit a complaint to the Latvian Data State Inspectorate regarding data processing activities conducted by TechChill.

 

6. Miscellaneous

TechChill has the right to make changes to the Privacy Policy at any time by posting them on our website. Any version of the Privacy Policy that is published on this webpage replaces all previous versions of the Policy and takes effect immediately upon posting or from the effective date as indicated.
